MANAGE A BUILDING MAINTENANCE / FACILITIES DEPT WITH THE FOLLOWING TOOLS:
Facilities Management Module
  • Building Ledger
    • Maintenance costs organized and displayed for each individual Building subdivided into Service Types such as Custodial, Janitorial, Preventive Maintenance, Special Projects, etc.
    • Occupancy: square footage by occupying Departments and Agencies;
    • Lease(s) information: Lease Rates and Terms, Renewal Tickler Date, etc.
    • Building Attributes: all mechanical, electrical, plumbing, etc. entities are identified and tracked.
    • Building Survey: ability to print / create a Building Survey report / spreadsheet used to inventory and rate all Building components from exterior parking lot to all inside rooms, hallways and space.
    • Automatic Building cost distribution and allocation to occupying Departments.
  • Department Ledger
    • Maintenance costs organized and displayed by Department subdivided into Service Types such as Custodial, Janitorial, Preventive Maintenance, Special Projects, etc.
    • Cross reference screen displaying all occupied Buildings for each Department.
    • Automatic creation of Fund Transfer forms (Journals) or A/R Invoice forms for all reimbursable work and services.
  • Service Requests (Work Orders) / Forms: Service Requests: new Maintenance work requests are captured in Service Requests that can be tracked, printed out as Work Order forms, and program computes costs of completing the Service Request (i.e. Labor, Equipment, Materials, etc.)
    • Online creation, review and printing of Service Requests Forms
    • Required Parts lists
    • Multiple Service Requests Status Codes and Reporting options
    • Interfaces with other CAMS modules for labor costs and parts costs
  • Preventive Maintenance Schedule: scheduled maintenance events can be set up as PM Services with a repeat schedule: e.g. every 3 months, or every 2 years, etc.) – system generates new Service Requests at the appropriate times.
  • Equipment Master (Facilities)
    • Ability to track individual pieces of Equipment such as Boilers, HVAC Units, etc.
    • Costs of Maintenance
    • Pending Repairs: deferred Maintenance, recalls, etc.
    • Photos
    • Warranties
    • Notes & Comments
